Terms and Conditions

1. Tour/Event Organiser:

 

  • All tours/events are personally tailored and organised by Ultimate Driving Adventures Limited ( herein referred to as “UDA”). Company number: 14803264.

  • Your participation in the tour/event including any deposit, or payment in full, made at the time of booking or prior to the tour/event, shall be deemed to be your acceptance of these Terms and Conditions.

 
2. Details Pertaining To Each Tour/Event:

  • The UDA tour/event is a tailored navigational road trip led by an official UDA organiser. You will be given a daily route map with a finishing point and you will be expected to navigate to it using either the Sat Nav system supplied in the rental vehicle provided and/or the printed route map supplied by a UDA official.

  • The tour/event programme; i.e itinerary, hotel accommodation, meals, admission fees, etc. shall be described in the UDA tour/event programme brochure.

  • Unless otherwise stated in the programme brochure all other expenses are deemed not to be included in the tour/event entry fee price.

  • The UDA tour/event is not a race or a competition. You must drive safely and in accordance with all road laws in each country and with proper courtesy to all other participants and members of the public.

  • If you are seen to be driving recklessly, or otherwise seen not to be in compliance with road law regulations, you may be removed and prohibited from taking any further part in the tour/event including future tours/events.

 
3. Age Restrictions:

 

  • In order to participate all rental drivers must (unless otherwise specified) be aged 21 or over on the first day of the tour/event and have held a full driving license for a minimum of 1 year.

 
4. The Tour/Event Entry Fee:
 
The entry fee price of the tour/event is based on:

  • x1 rental car* with a driver and a single passenger and inclusive of insurance and breakdown cover.

  • Hotel accommodation** and any meals as published in the UDA tour/event programme.

  • A meet and greet private transport service from your UK arrival airport to your first night UK Hotel accommodation.

  • A private shuttle service to your UK departure airport hotel.

    • In the event of any exceptional circumstances, that are not within the reasonable control of UDA, UDA reserves the right to amend the advertised route map at any stage without refunding any paid tour fees. All participants will be notified of any changes in this instance.

  • Participants in this tour event are solely responsible for booking their flights to the UK and UDA cannot be held responsible for any tour/event refunds caused as a result of any participant not arriving on the start date of the UDA tour/event.

    * On our Mini Cooper Tours your rental Mini Cooper unless otherwise specified will be an automatic and supplied with a Sat Nav System and a UK/EU breakdown kit.
    ** UDA shall advise if any single occupant supplement is applicable at the time of booking for drivers requiring a single room

 
5. Currency Surcharges:

 

  • From time to time changes in exchange rates mean that the entry fee price, particularly where this includes overseas hotels may change after you have booked. In these circumstances UDA reserves the right to charge you for any increase in costs due to exchange rate increases. If you pay for the the full cost of your tour/event and subject to the required number of all participants paying in full at the time of the booking, you will not be subject to any currency surcharges
     

6. Payment Terms:
 

  • Unless otherwise stated a non refundable and non transferable deposit shall be required together with a completed booking form at the time of booking. The outstanding balance of the tour/event shall be payable in full, or in instalments. Instalment plans must be paid off 60 days prior to start of the tour. Payment in full must be paid within 30 days of paying the deposit

  • Once you are ready to book your tour you will be sent a payment link via email to be connected to our secure portal to pay your deposit. You will then receive a link to pay your full balance, or instalments (which ever is required), to secure your place on the tour/event.

  • UDA will send you a vehicle rental agreement form that must be completed and returned as set out in the instructions of the UDA tour/event programme.

  • If available, an instalment plan shall be provided.

  • Once your deposit payment has cleared you will be sent your confirmation and a welcome email with further information we requre for your booking. You will need to complete electronic booking form within 7 days of receipt.  

  • In the event that we do not receive the outstanding balance of the cost of the tour/event and your completed rental agreement form in the required timeframes, your booking may be cancelled with your deposit and any payments being forfeited.

 
7. Regsitered Clubs Benefit Scheme

 

  • To qualify for Ultimate Driving Adventures' exclusive club discounts, clubs must be officially registered with us prior to any tour bookings. Registered club members are eligible for a £300 discount off the price of a ticket, which covers two people sharing. When four or more tickets are purchased from the same club, each ticket qualifies for a £500 discount. Discounts are non-transferable and apply only to verified club members. Ultimate Driving Adventures reserves the right to verify club membership status and limit discount availability based on tour capacity.

 

  • Registered clubs are required to share Ultimate Driving Adventures' tour information with their members at least once a week during active marketing periods for a tour. We ask that clubs tag Ultimate Driving Adventures in any Facebook posts to help boost visibility. Additionally, we encourage clubs to share our tours in their member newsletters, bulletins, or any other regular communications they use. This helps ensure club members are aware of exclusive offers and upcoming tour opportunities. Failure to fulfill this obligation may affect the club's eligibility for discounts and other benefits.
     

  • ​Members must have been a member of the club for a minimum 2 months prior to making a booking to qualify for club discounts.


8. Tour/Event cancellation by the Participant:
 

  • If for any reason, the participant decides to cancel either before or during the tour/event your entry fee price and any monies paid to date is neither transferable nor refundable. UDA would advise that all participants take out suitable insurance if you think this will be a problem.

 
9. Tour/Event cancellation by UDA:

 

  • UDA reserves the right to cancel and or postpone any tour/event wholly or in part in case of an insufficient number of participants, organisational reasons, force majeure or other unforeseeable events that render the execution of the tour/event impossible and/or not worthwhile or that would lead to UDA incurring unreasonable expenses in executing the tour/event. UDA shall immediately inform participants of such changes.

  • A tour will require a minimum of 3 sold tickets to go ahead.

  • Should an event be cancelled for any reason that is deemed to be within the reasonable control of UDA, UDA will then refund the tour/event fee including any deposit paid.

 
10. Participant conduct while on tour and driving Under the Influence:

 

  • Our tours are for well-spirited, friendly and welcoming people who are happy with meeting and interacting with new groups. Any persons behaving in a way that repeatedly dampens the enjoyment of other guests may be asked to leave the tour immediately, at the sole discretion of the UDA team. No refunds will be issued.

  • Participants shall not consume alcohol whilst driving.

  • Participants shall not drive under the influence of alcohol or any other intoxicating or illegal substance.

  • If UDA finds the participants to be under the influence of alcohol, or attempting to consume alcohol whilst driving, or under the influence of any other intoxicating or illegal substance, UDA reserves the right to prohibit you from participating further in the tour/event.

 
11. Liability:

 

  • Each tour/event provided by UDA shall be executed to a satisfactory standard. UDA however, cannot accept liability under any circumstances if you suffer injury or death whilst travelling in the rental vehicle you use whether or not through your own fault or neglect.

  • UDA shall not be responsible for damage to the participants rental vehicle or property sustained during the tour/event including when parked in any hotel or tour/event grounds.

 
12. Indemnity:

 

  • You agree to indemnify any official UDA organiser, its directors, employees, agents against any claim whatsoever or however arising that is brought against UDA as a result of your action or participation in the tour/event, including without limitation any violation on your part that pertains to any breach of these Terms and Conditions.

 
13. UK and Overseas Compliance:

 

  • Participants shall comply with all motoring regulations for travel abroad and in the UK and carry the relevant road safety equipment as supplied with your rental vehicle.

  • It is the sole responsibility of the participant to ensure that their documents are in order for each tour/event requirement. Documents must be valid from the start of each tour/event and including the last day of the tour/event. Failure to do so may result in your disqualification from the tour/event.

  • Documents should include but are not limited to the following:

  • A valid driving license that will be excepted in any and all visited countries. It is your responsibility to check if you require an International Driving Permit

  • Your signed rental agreement documentation,

  • Valid Passport and any relevant visas

  • Vehicle Vignettes

  • Travel Insurance.

 
14. Force Majure:

 

  • UDA including its directors, employees, sponsors, advisors, agents and consultants shall not responsible if they cannot fulfil their obligations resulting from this contract (including without limit the holding of the tour/event or any part of it) in cases of fire, earthquake, epidemic diseases and/or pandemics announced by the World Health Organisation, cyclone, flood, strike, lightning, war in the country, revolution, civil war, terrorist activities and similar troubles, blockade, embargo, confiscation and expropriation.

  • UDA shall not be held responsible if it is not possible for it to fulfil any one of its obligations or if a delay occurs in fulfilling its obligations due to any reason or situation beyond its reasonable control, including but not limited to incidents arising from the operations of law enforcement in any territory, the general instructions of any relevant official institution, provisions of law, regulation and statute, instructions given by authorised officials such as police and government officials, extraordinary situations, and other force majeure events.

  • For the avoidance of doubt, if UDA acting reasonably decides to call off the tour/ event either before the tour/event or during the tour/event due to an incident (such as a death or serious injury in connection with the tour/event, or any reasonable situation that otherwise naturally detracts from the tour/event), such tour/event will be considered to be a force majeure event in accordance with this clause and UDA shall have no liability, in particular and without limitation, to refund the entry fee or any part of it to any Participant.

 
15. Copying the Event:

 

  • It is a condition of your booking form entry and your participation in the tour/ event that you agree not organise, invest in or fund any similar tour/event which attempts to replicate this tour/event or any of its unique features, activities and components or which seeks to benefit in any way from the UDA branding or goodwill. Doing so will result in legal action by UDA and you hereby agree to remain liable for any and all costs incurred by UDA on a full indemnity basis.

  
16. Photographs & Filming:

 

  • By joining a tour organised by UDA, you grant UDA the right to capture and use photographs and video footage taken during the event for marketing and promotional purposes. This includes use in social media posts, website content, printed materials, and reviews of the tour. We may also use imagery that includes guests in our promotional reviews and storytelling. However, we will never publish full names—only first names may be used when referencing individuals. If you do not wish to appear in any photos or videos used for these purposes, please notify us in writing before the start of the tour. We will do our best to respect your request, although group settings may limit full exclusion in wide-angle or crowd shots.

  • Participants shall be entitled to take photographs and film footage of your tour/ event for non- commercial purposes only (i.e. personal and private use only).

  • Participants are not entitled to reproduce or use photographs or footage of the tour/event on any website for a commercial purpose, in any printed media or matter or in any television programme without first obtaining the prior written consent of UDA.

  • In all circumstances (both commercial and non-commercial) you agree not to photograph, record, reproduce, publicise digitally or in printed media any road traffic accidents, which may occur during the tour/event.

 
17. Confidentiality:

 

  • You shall agree to keep confidential, and not disclose to any third party, details of any incidents that occur during the tour/event including, without limitation any and all details of any road traffic accidents that may occur during the tour/event.

 
18. English Law:

 

  • These Terms and Conditions are governed by English Law and you hereby irrevocably submit to the exclusive jurisdiction of the Courts of England and Wales in relation to any disputes arising from terms of this agreement including non-contractual disputes in relation to its subject matter or formation.
